When reviewing another Practicum student’s work for a faculty member’s sheet in Microsoft Teams, there are a few things you need to look out for to ensure that all works are uploaded and are correctly presented on the faculty member’s BePress page. Here is an easy order of how to check:

  • Look for any works labeled MISSING in the first column
    • The Curator of the sheet may have put a message next to the MISSING label that will explain why the article wasn’t added
    • Nevertheless, all MISSING articles need to be added to the respective faculty member’s BePress profile
  • Visit the faculty member’s BePress page
    • First, you need to look at all of the titles for the articles there to make sure they look appropriate
      • Any Open Access (OA) works need the “all caps” treatment, where the first word is not the only one that has it’s first letter capitalized. An easy way to fix this is to drop the title into capitalizemytitle.com
      • If the article is not an OA work, then it’s okay if the first word is the only one with it’s first letter capitalized (unless it is something that relates to what the article is talking about, i.e. a chemical or element in a chemistry article)
      • Make sure that the title isn’t wrong and matches with the title found on the article and PDF itself
    • Next, check the link, if the article has a link instead of a download, to make sure it doesn’t go to a “bad” or “ugly” site
      • An example of a good site is cambridge.org, which easily displays all the information you need about the article you are looking at as well as giving you access to the article’s PDF
      • Most bad sites are ones that look “sketchy” or have minimal information about the article you are looking for, and doesn’t provide a link the article’s PDF at all.
        • If you find that an article goes to a bad site, try to find the article on a different site or remove the article and only keep the metadata in the work on the BePress profile of the faculty member.
    • Check and make sure that all OA works are put together correctly
      • Publisher PDF’s and other OA works need to to have the correct Publisher Statement and Display Category (“Open Access Works”) in the work on the faculty member’s page

Once everything is checked and updated, make sure to update the sheet correctly by putting “Link” or “Download” into the first column of the sheet of the faculty member you are reviewing.
