May 8, 2020: Set up meeting time with Helena Marvin.

May 11, 2020: Zoom meeting with Helena Marvin. Listed current tasks including setting up a Bepress site and linking it to the blog, reading the blog, setting up an activity log, and writing an orientation blog post. Got connected to Teams and logged into the WordPress site. (15 minutes)

May 11, 2020: Set up Bepress account and downloaded Teams. Set profile pictures and biographical info. Explored the blog site. (45 minutes)

May 12, 2020: I downloaded and signed into the Teams app on my phone in order to stay connected when I am away from my computer. I then messaged Lena to clarify what I should be writing about in my Orientation blog post, the last of my first four activities. I then proceeded to read through all of the current blog posts, taking notes on relevant training information. While learning about the different tools, the Open Access Checker, the Discovery System, Sherpa Romeo, and the IRL Selected works page, I bookmarked each for easy access during this program.

I reviewed the process of claiming a faculty member from the file in Teams, adding them to a template, searching their works on the Discovery System, and them transferring those works to the OA checker. I did this by reading the blog post From Discovery to the Checker and Checking Bepress. After reviewing the blog posts and bookmarking the important tools, I explored my Bepress dashboard and reviewed the Bepress instructions.

I then messaged Lena to confirm that I had finished reading the blog and she advised me to look over the Gupta example in the Teams Files to see how the process works. I pulled up the sheet on Teams and then went to the Discovery System and searched “Lav Gupta” to compare my results with the results in the sheet. I found that when there is an abstract, it needs to be expanded before copying and pasting or else it will not copy over to the sheet. I also found that not every article is listed in the initial results and the searcher has to click on the date tab to see older articles.

After this, I moved back to the sheet and practiced filtering by title and then copied and pasted those into the checker, comparing my results with the example. I followed this process while referencing the blog post. When finished, I booked a time with Lena to meet on May 13 to discuss. I then made sure that my Google Drive, Teams, and Zoom were all easily accessible. (2 hours)

May 13, 2020: Updated activity log and drafted an Orientation blog post. Worked on practicum learning plan. (30 minutes)

Met with Lena on Zoom and discussed checking by department to make sure every faculty member has a selected works profile and creating a spreadsheet to track this. (25 minutes)

May 18, 2020: Watched the Open Access YouTube video. Cross referenced Faculty lists on the discovery system with selected works profiles. (4 hours)

May 19, 2020: Finished cross referencing faculty lists with selected works profiles. Claimed a professor and started a spreadsheet. (1 hour)

May 20, 2020: Worked on discovery cleanup for Carl Bassi. (30 minutes)

May 21, 2020: Finished discovery cleanup for Carl Bassi and filtered by title. (1 hour)

May 25, 2020: Met with Lena and discussed problems I was having with the checker and discovery system. Set next tasks. (30 minutes)

I restored my copy of the checker to a previous version and was able to get it to work Put in the information for Bassi and took that file from a d to a b. I added documentation to the Permission Checker Blog about restoring the checker to previous versions or downloading a new copy if it is not working. Sent Lena the results of my cross checking of faculty members with collected works pages (two were missing). I also emailed the people that run the discovery system to let them know it was not working.

Created files for Boland and Bolton, but was not able to complete the discovery because the system was not working. (1 hour 30 minutes)

May 26, 2020: Completed through the discovery step for five faculty profiles. Wrote blog post about multiple curators and how to note this in the file. (3 hours)

May 27, 2020: Completed nine faculty profiles through the discovery step. (4 hours, 30 minutes)

May 31, 2020: Completed two faculty profiles through the discovery step. Read new blog posts. (1 hour, 30 minutes)

June 1, 2020: Completed one faculty profile through the discovery step and updated activity log. (45 minutes)

June 2, 2020: Met with Lena to discuss workflow changes. Will work on moving the “d”‘s to “b” or “a” and adding missing works to the Selected Works pages. (15 minutes)

Downloaded the new version of the checker and checked DOI’s for one faculty member and checked for missing works. (45 minutes)

June 4, 2020: Updated activity log. Watched the follow up Zoom video about adding missing works to faculty pages. Downloaded the new extension and used it to take a faculty profile to the “b” stage. (1 hour)

June 7, 2020: Read updated blog posts on the new workflow. Updated four of my claimed faculty profiles and moved them to “b.” (1 hour, 45 minutes)

June 8, 2020: Updated seven of my claimed faculty profiles using the new workflow to “b.” (2 hours, 15 minutes)

June 9, 2020: Chatted with Lena about checking blog posts for workflow entries that should be updated or archived. Updated three of my claimed faculty members with the new workflow to “b.” (1 hour, 45 minutes)

June 15, 2020: Reinstalled the chrome extension and worked on the Chickos faculty file which I was unable to import before. (1 hour, 15 minutes)

June 17, 2020: Read through blog posts on the A steps and moved Bassi to an A. I could not figure out how to do the A+ step from the blog so I asked on teams and spoke with Michelle and Lindsay about how to do that and we noted that the blog needed updated to reflect the format of the new chrome extension. (2 hours)

June 20, 2020: Worked on Bassi profile to get it to the “A” level. (1 hour)

June 22, 2020: Reviewed blog posts for getting profiles to “A+”. Brought Bassi, Bolton, Breaugh, and Brown profiles to “A+”. Set up check-in with Lena. (4 hours)

June 23, 2020: Worked on finishing Breaugh and Brown and adding publisher statements and abstracts to works from the checker. (1 hour)

June 24, 2020: Checked profiles I had already finished to make sure I had highlighted the publisher statements and licensing information on the spreadsheets. Worked on Brownell and Bruce. (3 hours, 30 minutes)

Started work on O’Sullivan. Found his profile on Google Scholar and many of his works are not on the Selected Works Page. Generated a spreadsheet for O’Sullivan’s missing works and began work on adding them. They did not appear on the Import or Harvest functions on the website. I put the new works in “Research Works” and kept them separate from the “Selected Research Works” that were already listed. (7 hours)

Continued adding works for O’Sullivan and uploaded spreadsheet of the works I found for him on Google Scholar with the works added highlighted.

Summary: This practicum has helped me hone my research and technological skills. I had not worked with Bepress before, but now I feel very comfortable with it and my ability to edit web pages and add entries to the Selected Works pages. It was also new for me to be trained in the workflow remotely which proved to be difficult at first, but through practice and patience I was able to figure out the process. I now feel more comfortable working simultaneously with different programs and websites to compile information and check open access permissions.

I have also learned how to organize my work online through Microsoft Teams and Excel spreadsheets. Even though I had used Zotero before, I did not know it could be used to export spreadsheets which makes the information more manageable.

I am very grateful to be able to have had this opportunity and it has given me good practice for working remotely with a team in the future, should the opportunity arise.

  1. Trisha, good catch on the older articles, I missed that! I’m going to add that to the training documentation.
